Job description

Key Responsibilities

Maintain the library of policies, procedures, records retention schedules, and standards to ensure that original versions (current and historical) are protected against unauthorized change and access. Maintain a database of the document library to manage and track the annual review process. Oversee the publication of all policies and procedures in CGO’s shared folders and on the intranet.

Review all Governance Texts issued by Paris Head Office and notify all business units that may be concerned or impacted by them.

Actively manage the annual reviews of all policies, procedures, records retention schedules, and standards, and assist document owners with revisions as required. During the annual reviews, research the Paris Head Office Governance Texts database for texts that that may be relevant to the policies being reviewed.  Specifically drive the annual review process for the CIB, CLF, DAR, FIG, GIB, GMD, IOS, ITB, RPC, SFI divisions.

Maintain a database of all formal committees and oversee annual reviews of the committee charters and record any updates to the charters and their membership structure.

Act as the Recording Secretary for certain formal committees chaired by the COO, currently the Security Governance Committee SGC that meets once per month.  The Recording Secretary is responsible for organizing meeting agendas, taking and issuing formal minutes of the meetings, and the safe keeping of all meeting documentation.  

On a monthly basis, prepare a file package for uploading of committee meeting minutes to the regulators’ (FRB and NYDFS) websites. The committees for this upload are:
·Security Governance Committee (SGC)
·Information Technology Security Steering Committee (ITSSC)
·IT Steering Committee (ITSC)
·Cybersecurity Committee

Support the monthly review and updating of the organization charts in the IOS organization for submission to the COO and to Corporate Communications (COS) for formal publication.

Maintain a good working knowledge of the definitions, rules and processes associated with signature authority administration and powers delegations. Support the management and updating of information in the local database of signing authorities and the global MySign database.

Respond to requests from business units for copies of their policies, procedures.

Collect documentation in response to auditors’ requests.

Facilitate requests made to Corporate Governance Organization in France Head Office.

Support records destruction exercises by identifying and assigning new ownership of archived records belonging to departments that no longer exist.

 

Perform daily and periodic of onsite staff attendance for distribution ti management and perform data analysis as requested by management.

 

Perform other duties as assigned and support Property & Corporate Services (PCS) team on an as-needed basis.

 

Salary range: $65,000 - $80,000

      Cont. Secondary Responsibilities:Provide back-up support to CGO’s S&P Administrator for:·Requests for adding/removing/changing delegations, certificates of incumbency and any other official documentation. ·Updates of the global MySign database and the local database.·Monthly updates to the organization chart for the IOS division.·Annual reviews of policies, procedures and standards for CPL, COS, FIN, HRE, IGE, LATAM, LGL, divisions.Management and ReportingReports to the Head of Corporate Governance who reports to the Chief Operating OfficerKey Internal contacts-Chief Operating Officer and those units in the IOS perimeter-Corporate Governance Organization in France Head Office-All other business units 1-2 years experience
